Daily staffing can be unpredictable.

Some absences are known well in advance. Others arrive first thing in the morning, when there are already dozens of other things happening across a school. For Daily Organisers and school leaders, the challenge isn't knowing how to manage staffing — they do it every day.

The challenge is having the right support around them when they need it.

At Your Teaching Agency (YTA), we believe a teaching agency should make a Daily Organiser's job easier, not create another task for them to manage.

That means getting to know the schools we support, understanding what they're looking for, communicating clearly and, wherever possible, providing educators they already know and trust.

Here are five ways we believe YTA can make daily staffing easier for schools.

Get to Know Your School — Not Just Your Booking

When a school contacts us looking for a Casual Relief Teacher, the immediate requirement obviously matters.

But there's also a bigger picture.

Every school has its own environment, expectations, routines and preferences. Over time, the more we understand about a school, the better equipped we are to support it.

We want to learn things like:

  • Which educators have worked particularly well at your school?
  • Are there CRTs you'd like us to send back whenever possible?
  • Are there particular year levels, subjects or specialist areas you regularly need?
  • Are there preferences we should know about when looking for someone?
  • Is there anything about your school that would help us better prepare an educator before they arrive?

That knowledge builds over time.

Instead of treating every phone call or booking as an isolated request, we want to develop an understanding of your school that helps us make better decisions when the next requirement comes through.

Find the Right Educator, Not Simply an Available One

Availability is obviously important in casual staffing — particularly when a school needs someone at short notice.

But we don't believe it should be the only consideration. Where circumstances allow, we want to think about the individual booking and the educators available to us.

That might mean considering:

  • year-level experience
  • subject knowledge
  • previous experience at the school
  • feedback from previous bookings
  • the educator's strengths and preferences
  • the particular requirements of the day

Sometimes, particularly on a busy morning, options will naturally be limited.

We'd rather be transparent about that than pretend otherwise.

But wherever possible, our goal is not simply to ask:

"Who is available?"

It's to ask:

"Who is available and would be a good fit for this school?"

Build Continuity With CRTs Your School Already Knows

One of the best pieces of feedback we can receive from a school is:

"Can we have that teacher again?"

When a CRT works well within a school, we'd like to build on that relationship.

Returning educators already have some understanding of the school's routines and expectations. They may know members of staff, recognise students and feel more confident navigating the school day.

The school also knows the educator.

That familiarity can make the morning easier for everyone.

Where availability allows, we want to prioritise those existing relationships and help schools develop a pool of familiar YTA educators they are happy to welcome back.

Over time, casual educators can become familiar faces within a school community rather than somebody completely new arriving every time an absence occurs.

Communicate Clearly — Especially When It's Busy

There are mornings when demand for CRTs is high across many schools.

Those are also the mornings when good communication matters most.

If you've asked us for help, you shouldn't be left wondering what's happening.

We believe in communicating clearly about the status of a booking and being realistic about what we can and can't do.

If we're working on your request, we'll tell you.

If we need more information, we'll ask.

If circumstances change, we'll communicate that.

And if we're unable to help with a particular request, we'd rather be honest about it than leave a school waiting unnecessarily.

We know the person managing daily staffing has plenty of other things requiring their attention.

Listen to Feedback — And Remember It

Good staffing relationships get better over time. A big part of that comes from listening.

If you tell us a CRT was fantastic and you'd love to have them back, that's useful information.

If you tell us there was something that didn't quite work, that's useful too.

If your staffing needs change, we want to know.

And if there's something we could do differently to make working with YTA easier, we'd rather you tell us.

Feedback helps us understand both our schools and our educators better. The objective isn't simply to complete one booking successfully.

It's to use what we learn from each experience to make the next booking better.

Our Job Is to Make Your Job Easier

We know that Daily Organisers and school leaders don't need an agency telling them how to run their staffing.

You know your school better than we ever will.

Our role is to listen, understand what you need and provide reliable support when you need it. For us, a successful relationship isn't measured simply by how many bookings we fill.

It's when a school can contact YTA knowing that we understand what they're looking for.

It's when a Daily Organiser doesn't have to explain the same preferences every morning.

It's when an educator walks through the gates and staff recognise them.

And it's when a school calls and says:

"If they're available, we'd love to have them back."

That's the kind of relationship we want to build.
