What happens when a school requests a CRT? See how YTA finds the right teacher, confirms the booking and supports schools every step of the way.

When a school contacts YTA looking for a Casual Relief Teacher, the request itself can be very simple:

“We need a Year 5 teacher tomorrow.”

Or sometimes:

“Can you find us a Maths teacher for today?”

The request could reach us in a number of ways - text message, email, a request on our booking platform or our schools can also book specific staff directly from our app.

But behind that request, there is a lot happening to make sure the right teacher arrives at the right school, at the right time, ready for the day ahead.

At Your Teaching Agency, finding a CRT isn't simply about filling an empty space. It's about understanding what the school needs, finding an appropriate teacher and making the process as easy as possible for everyone involved.

So, what actually happens behind the scenes?.

We Start by Understanding What the School Needs

Every booking is different.

Before looking for an available teacher, we need to understand exactly what the school requires.

That can include:


  • Year level or subject
  • Start and finish times
  • Any specialist teaching requirements
  • The location of the school
  • Particular experience that may be helpful
  • Whether the booking is for one day or a longer period
  • Any important information the CRT needs before arriving

For a straightforward booking, this can happen very quickly. Sometimes school need a generalist teacher for a variety of subjects, or a primary teacher for time release, or a specific specialist subject and more often than not the school already knows who they want.

For more specialised requirements, taking a little extra time to understand the request can make a significant difference.

We Look Beyond Who Is Simply Available

Availability is obviously important — particularly when a school needs someone at short notice.

But it isn't the only consideration.

We also look at which of our available teachers may be appropriate for that particular booking.

A teacher who is a great fit for a Prep classroom may not necessarily be the right person for a Year 9 Maths class. Likewise, some CRTs have particular experience, preferences and strengths that make them especially well suited to certain schools or roles.

The aim isn't simply to find a teacher. It's to find the right available teacher for that booking.

We Contact Our Teachers

Once we've identified suitable available CRTs, our team gets to work.

Depending on the timing and nature of the booking, this can involve contacting teachers, confirming their availability and providing them with the information they need to make a decision.

And sometimes this all happens very quickly. Schools don't always know at 3pm that they'll need another teacher tomorrow. Sometimes the call comes early in the morning.

That's one of the reasons responsiveness is such an important part of CRT staffing.

We Confirm the Booking

Once a suitable CRT accepts the booking, we confirm the details with both the teacher and the school.

That might sound like a small step, but good communication here is important. The teacher needs to know where they're going, when they need to arrive and what they're likely to be teaching.

The school needs confidence that the booking has been filled and someone will be arriving.

The CRT Heads to School

This is the part everyone sees.

The CRT arrives at the school, checks in and gets on with the job. But by this stage, much of our work has already happened.

Our teachers have gone through YTA's registration and compliance processes before being made available for work.

That means when we send a CRT to a school, we're not starting from scratch each time a booking comes through.

A significant part of providing reliable CRT staffing happens before the school ever makes the call.

We're Still Here After the Booking Is Filled

Our involvement doesn't necessarily end when the teacher walks through the school gates.

Things can change during a school day.

A booking may need to be extended.

A school may discover it needs another CRT.

A teacher may need assistance.

Or the school may want the same teacher back again.

Having someone available to answer the phone and respond quickly can make a real difference.

That's why communication is such an important part of what we do.

We Learn From Every Booking

Over time, we get to know both our schools and our teachers.

We learn which teachers work particularly well in certain environments.

We understand the preferences of our CRTs.

And we become more familiar with what individual schools need from their casual staff.

That knowledge helps us make better matches in the future.

When a school books with YTA regularly, the relationship becomes much more than a series of individual bookings.

We get to know the school.

And that's something an automated booking system alone can't replicate.

It's More Than Filling a Vacancy

A successful CRT booking can look incredibly simple from the outside.

A school needs a teacher.

A teacher arrives.

Problem solved.

But behind that simple outcome is a team working to understand the request, identify an appropriate teacher, communicate with everyone involved and make sure the booking comes together.
